About the project
The system covers a polyclinic's entire day: scheduling with requests arriving from the website and by phone, a per-doctor calendar, patient records with histories, diagnoses and therapies, results with branded PDF printing, automatic notifications and a work report for any period. Patient search works by name, phone or personal ID, from any screen.
Special care went into data protection: per-channel consents, minimal role-based access, two-factor authentication, secret revocable links to documents, and records that are versioned instead of deleted, as regulations require. The data model is ready to connect to the national e-health record system.
Challenge
A polyclinic with multiple doctors ran its schedule and records through notebooks, spreadsheets and phone calls: appointments arrive from the website, by phone and by message, doctors swap shifts, and regulations require tidy records that are never deleted. Reception spent half the day reconciling the calendar while patients waited for a call back.
Solution
We built a complete system in Serbian: a calendar with four views and a colour per doctor, a scheduling engine that respects working hours, service durations, breaks and absences, electronic records with the ICD-10 code book whose entries are never deleted, and results delivered to the patient through a secure personal link rather than as an attachment. Notifications go out automatically over the channel the patient consented to, WhatsApp, Viber or email, with per-service templates the clinic edits itself. Every doctor has an account that sees only their own patients, a personal phone calendar feed, and enters their own absences, with two-factor authentication for everyone.
Result
Reception opens the dashboard in the morning and sees the whole day: appointments, pending requests and who has confirmed. The patient confirms or cancels with one tap from the reminder, no apps or passwords. Records comply with the Serbian health documentation law and data protection rules, over 50 automated tests cover the key flows, and the system runs behind a login because it is built for patient data.
